Who will speak at go2018?

Digitisation is not a new phenomenon. Hence, go2018’s mission statement: enough with all theory, let’s start practicing it. Here experiences will be shared and a close look behind the daily digitisation practice can be taken. Moderated by Guido Augustin, experts, representatives from middle-sized companies, and clients of godesys AG like Pratt & Whitney Canada, JBL and Star Distribution GmbH will speak about their road to digitisation.

What is digitization?

The term digitization describes the conversion of analog things into digital formats, which can then be processed by information technology. Colloquially, the term digitization is also used as a synonym for "digital revolution" or "digital transformation". It describes the process of social, political, technical and cultural change triggered by digitization.

Historically, the term digitization describes the conversion of analogue media such as film, sound recordings and documents (paper) into electronic files consisting of bits and bytes. For some years now, most of these media have been produced directly in electronic form, without the preliminary stage of an analogue version. These media are created, copied and distributed exclusively via information technology such as computers, smartphones or similar communication networks.

Advantages of digitization

The advantages of digital information are obvious: it is very easy to copy, edit, store and distribute using data processing systems. Because this data is machine-readable, computers can process and search the data very quickly. Another significant advantage of electronic data is loss-free long-term archiving. Although it is necessary to make copies of the data carriers at regular intervals, since no material in the world is durable in the long term, these copies are lossless and without errors. Another advantage of digital data: they protect analogue originals such as tapes, films or books.

Disadvantages of digitization

The advantages of digitization could also be seen as a disadvantage, or at least a potential danger. While an analogue original is unique and can only be copied with great effort, copying and copyright protection can very easily be avoided with digital formats. The "copy, edit, store and distribute" aspects mentioned under "Advantages" are a major danger point in the event of improper handling of digital media. Digital surveillance cameras in public places are a concrete example. Through the digital recording, storage and evaluation of data, user and behavior profiles of individual people could be recorded without being asked. The storage of personal user data on websites is also a danger of digitization and must be regulated by clear laws.

Digitization is more than just a trend

Many small and medium-sized companies are sceptical about the subject of "digitization". Although the general and unmistakable tenor is that digitization is an absolute must for companies if they want to remain able to act in the near future, a large part only cares little or not at all about it. It is not enough to simply operate an additional Facebook page or to quickly switch accounting to online bank transfer. If companies want to take advantage of the opportunities offered by digitization, more needs to be done.

But how could this opportunity be used in concrete terms? A change in the reorientation becomes particularly clear by the example of a traditionally analog handicraft, such as a craftsman's business. While Operation A still lives on word-of-mouth propaganda and recommendation and otherwise does little or no advertising, the competitor Operation B on Facebook, Instagram and co. manages to intercept the customers of the future. He operates on various platforms and on his website image cultivation and manages to lead his business into the future in this way.

In order to be able to act in this way, there must be a rethinking in the minds of entrepreneurs - and those who do not at least try have already lost. Digitization is an opportunity to present yourself effectively to your target group and to network digitally with partners.

What does digitization mean for the economy?

Digitization means great change - not only for consumers, but also for companies, whether small, medium-sized or large corporations. It is not enough simply to update the IT department and revise the website. Digitization requires changes to take place in all areas of the company. Today more than ever, products and services are oriented towards the wishes and needs of customers - and if customers change their wishes, a company must be able to react dynamically and flexibly. If it is not able to do this, the customer will look around for alternatives - no problem in times of digital comparison platforms and search engines.

As in real life, companies have to defend themselves against criminal activities and take cybersecurity measures on a digital level as well. These defensive measures will play an ever greater role in the future than they already do today.

ERP systems and digitization

But what does digitization mean for ERP systems? One of the first steps in digital transformation is the conversion of analog documents into digital formats. An intelligent DMS system eliminates the annoying search for documents and makes their handling much more efficient and comprehensible. Ideally, the ERP software supports mobile devices and all documents can be called up at any time and from anywhere, e.g. at the customer's premises or in the home office. Customers must be able to order goods or arrange for a return via an online shop and that manual, analogous intervention by an employee is necessary. When an order is placed, the system must automatically start a production process, schedule the required resources and order the delivery. An optimal ERP system controls and coordinates customers, partners and suppliers and reduces human intervention to a necessary minimum, because this is the only way to achieve the greatest possible benefit and the ERP system can do exactly what it was introduced for: Save costs.

One must always bear in mind that digital transformation or digitization is not a finite process that is completed at a certain point. In a constantly changing world, companies must constantly adapt their business processes (and possibly business models) in order to avoid being overtaken by digitization.
